 What we trust you to deliver 

  • Work closely with project managers and engineers to ensure all documentation aligns with project requirements and timelines.
  • Issue and track project-related documentation (engineering, deliverables, technical data, procurement and commercial information, project deliverables from design to construction), in accordance with the required schedule.
  • Administering and maintaining the FRP Document Management System.
  • Formatting of documentation before submission.
  • Ensure compliance with FRP Information standards and naming/numbering conventions and upload project documentation to appropriate FRP document and records management systems e.g. SharePoint and Aconex.
  • Implement workflows and collate, issue, and receive documents per project requirements for developing, reviewing, and approving design documentation and all other procedures, instructions, product certification, and records subject to review, approval, and storage.
  • Record document flow to and from all necessary parties, record issues, and track the location of control documents and drawings.
  • Conduct system and process reviews to monitor compliance, report findings, and take action to address any identified issues.
  • Support audits, internal technical reviews, and client reviews.
  • Assist with document handover processes
  • Communicate any document-related issues that may impact project delivery
  • Support the Controls Management team with ad-hoc duties and periodic internal, business improvement, and external reporting requirements.

 What you'll need to be successful

  • Demonstrated ability to maintain quality control and compliance with document control procedures.
  • Proficient in the use and setting up of document control software.  Previous experience in Content Manager, SharePoint, and Aconex preferred.
  • Familiarity with administrative processes involved in engineering, civil construction, and local government environments. (preferred)
  • Exceptional organisational skills with acute attention to detail.
  • Ability to manage deadlines and prioritise tasks effectively.
  • Understanding of business activities undertaken by Local Government
  • ICT skills, including the management of applications within an operating system.
  • Proven experience in document control or similar roles.
  • Proactive approach to continuous improvement.

Additional details
  • Salary: Attractive remuneration for the right candidate. 
  • Term Contract: Contracted hours of work 70 hours a fortnight, max term-based appointment until 30 June 2027.

  • Location: The position will be primarily at our Flood Portfolio Office in Lismore. Flexible work options are available, working within operational requirements. 
  • Conditions of Employment: Conditions of employment are in the Local Government (State) Award and relevant Council policy, procedures, and agreements.
